Campus Support Specialist (CSS)
Position Description:
The Campus Support Specialist (CSS) is responsible for the daily operations of the campus location. This role supports administrative and operational functions while ensuring institutional policies and procedures are followed. The CSS serves as a key point of contact for students, staff, and visitors, delivering excellent customer service both in person and over the phone.
This position requires strong organizational skills, the ability to multitask and prioritize responsibilities, and effective written and verbal communication. Some responsibilities may be shared with the Campus Manager.
Reporting Structure:
Reports directly to the Campus Manager.
Key Responsibilities:
Campus Operations & Administrative Support:
- Open the campus daily and prepare Lync/video rooms for student services.
- Maintain a clean, organized, and welcoming reception area.
- Answer and route incoming calls; manage messages and appointments.
- Manage Outlook calendars and track video interviews/appointments.
- Process incoming/outgoing mail and maintain records.
- Assist with onboarding new staff, including tours, keys, and setup.
- Maintain inventory of office and marketing materials.
Student & Customer Support:
- Greet and assist students, staff, and visitors in a professional manner.
- Support student grievance processes by routing inquiries appropriately.
- Address and escalate student concerns as needed.
- Assist students with password resets and general support.
- Provide campus tours and assist prospective students (location dependent).
Admissions & Records Management:
- Enter and audit enrollment agreements in CNS.
- Maintain accurate student records and upload required documentation.
- Process immunization records for extern students.
- Assist with transcript requests (high school, GED, or college).
- Provide daily admissions updates during start week.
Financial & Compliance Duties:
- Prepare and complete bank deposits (Tuesdays and Thursdays).
- Process student payments and assist with bank deposits.
- Complete monthly reconciliations (banking and AMEX).
- Ensure compliance with institutional policies and accreditation standards.
Campus Coordination & Events:
- Coordinate pre-orientation logistics (materials, setup, food, cleanup).
- Participate in campus events, including commencement and PAC meetings.
- Assist with community outreach and offsite events (as assigned).
- Maintain campus bulletin boards and student displays.
- Create and update a quarterly electronic student resource manual.
Testing & Reporting:
- Proctor entrance and certification exams as needed.
- Track and report test scores.
- Submit required hourly and operational reports.
Additional Duties:
- Order supplies and scrubs per schedule.
- Ensure video rooms are stocked and prepared.
- Follow all departmental procedures and guidelines.
- Participate in annual professional development.
- Perform other duties as assigned by the Campus Manager.
Qualifications & Skills:
- Minimum 2 years of experience in business, customer service, education, or sales.
- Some college or degree preferred.
- Experience with data entry and report writing required.
- Strong multitasking and organizational skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Word, Excel, Outlook, and database systems.
- Professional, reliable, ethical, and team-oriented.
Additional Requirements:
- Valid driver’s license.
- Ability to pass annual driving record check.
- Proof of valid insurance.
Compensation & Schedule:
- Position Type: Non-exempt (hourly)
- Schedule: Full-time (40 hours/week)
- Hours: Monday–Friday, 10:00 AM – 7:00 PM
- Pay Range: $16.00 – $19.60/hour
- Compensation based on experience, education, and qualifications.
