Campus Support Specialist (CSS)

Position Description: 
The Campus Support Specialist (CSS) is responsible for the daily operations of their assigned campus location. This role handles administrative and operational duties while supporting all departments by ensuring institutional policies and procedures are followed.

The CSS must be knowledgeable in basic administrative functions, demonstrate strong customer service skills both in person and over the phone, and have the ability to multitask, prioritize, and communicate effectively both verbally and in writing.

Many responsibilities in this role may overlap with those of the Campus Manager, resulting in some shared duties.

Reporting Structure:
The Campus Support Specialist reports directly to the Campus Manager.

Duties and Responsibilities: 
  •  Resolve campus-level requests, questions, concerns, and challenges, or direct them to the appropriate department 
  •  Open the campus daily and prepare Lync/video rooms for operational use 
  •  Assist with onboarding new staff, including tours, keys, and administrative setup 
  •  Manage incoming and outgoing mail, payroll distribution, and incident reports 
  •  Support students with grievance processes and route documentation appropriately 
  •  Ensure compliance with institutional policies and procedures 
  •  Prepare and complete banking deposits (Tuesdays and Thursdays) 
  •  Submit supply and scrub orders per established schedules 
  •  Complete monthly reconciliation for banking and AMEX purchases 
  •  Greet visitors and maintain a clean, organized reception area 
  •  Answer and route phone calls, schedule video interviews and appointments 
  •  Enter and audit enrollment agreements in CNS 
  •  Submit required hourly reports 
  •  Maintain accurate CNS records and upload required documentation 
  •  Manage immunization records for extern students 
  •  Assist with transcript requests (high school, GED, or college) 
  •  Provide campus tours and assist with student ID photos and scrub sizing 
  •  Manage staff Outlook calendars and track appointments/interviews 
  •  Handle daily mail processing and student payments, including bank deposits 
  •  Maintain inventory of print and marketing materials 
  •  Ensure video rooms are properly stocked and prepared 
  •  Proctor entrance and certification exams as needed 
  •  Coordinate pre-orientation logistics (materials, setup, food, cleanup) 
  •  Address and escalate student concerns as appropriate 
  •  Communicate regularly with the Student Services Campus Support Manager 
  •  Assist with offsite community events (as assigned) 
  •  Participate in campus events, including commencements and PAC meetings 
  •  Assist students with password resets 
  •  Maintain and update campus displays and bulletin boards for compliance 
  •  Create and maintain a quarterly-reviewed electronic student resource manual 
  •  Provide Admissions updates during start week 
  •  Follow departmental procedures and posted directives 
  •  Ensure compliance with accrediting agencies and U.S. Department of Education guidelines 
  •  Participate in annual professional development 
  •  Perform other duties as assigned 

Job Qualifications and Skills: 
  •  Minimum of 2 years combined experience in business, customer service, education, or sales 
  •  Some college or degree preferred 
  •  Data entry and report writing experience required 
  •  Strong multitasking and organizational skills 
  •  Excellent written and verbal communication skills 
  •  Proficiency in Microsoft Word, Excel, Outlook, databases, and internet use 
  •  Professional, punctual, ethical, and team-oriented 
  •  Must be able to pass an annual driving record check and maintain valid insurance 

Compensation & Schedule: 
  • Position Type: Non-exempt, hourly 
  • Schedule: Full-time (40 hours/week) 
    •  Monday–Thursday: 10:00 AM – 7:00 PM 
    •  Friday: 8:00 AM – 5:00 PM 
  • Pay Range: $16.00 – $19.60 per hour 
  •  Compensation is dependent on experience, knowledge, and education
